Your new role

The People Partner in UK & APAC will serve as a trusted partner within the global People team to create an outstanding people services experience aligned to our global approach for employees and managers in the UK & APAC.

This position will ensure that the company is compliant with local legal requirements, represent Digital Science in the UK & APAC with local authorities and external business partners, and support managers globally who oversee employees in these countries.

Please note – due to business need, this role must be based in the UK.

What you’ll be doing

People Partnering

  • Serve as a trusted advisor and coach to managers on employee-related matters in the UK and APAC, addressing queries and providing guidance on the employee lifecycle and employee relations challenges
  • Proactively identify areas where line manager support or intervention is required, leveraging data and escalating complex issues to the Employee Relations (ER) Manager, Strategic Partners, or Centers of Excellence (CoEs) as needed
  • Respond to employee and manager queries via the HR ticketing system, resolving country-specific HR issues promptly and effectively
  • Support and advise managers in UK & APAC on cyclical global people activities such as pay review, objective setting processes etc
  • Lead on the operational integration of new businesses in the UK & APAC, ensuring smooth transitions and alignment with Digital Science’s HR processes

Employee Lifecycle Management

  • Draft and issue employment contracts and offer emails for new hires, supporting on local HR inductions supporting a great onboarding experience
  • Manage the full employee offboarding process (voluntary and involuntary) through the HR system (Bob), ensuring all final payroll paperwork is completed
  • Oversee the UK & APAC payroll process, verifying that all calculations, deductions, and payments are accurate and acting as the final approver and subject matter expert for local payroll regulations, such as tax matters for UK overseas Directors
  • Approve ad hoc benefits such as cycle to work/tech scheme loans and add actual payments to employee’s profile on Bob
  • Issue employment change letters (e.g. promotions, working pattern changes, mortgage, references) and approve probation completions, sending formal letters to employees via Bob
  • Provide support and guidance for parental leave and complete maternity risk assessments
  • Manage outside interests process and documentation
  • Manage UK immigration sponsorships, including skilled worker visa applications, renewals and lifecycle right to work checks through Zinc
  • Collaborate with the communications team and ER Manager to keep HR information, such as the company wiki, up to date and easily accessible to employees
  • Support CoEs with recommendations on local country benefits and administration
  • Approve local ergonomic requests and if applicable workstation assessments

ER case management and relations

  • Provide support to employees who require reasonable adjustments, flexible working requests or complex return to work meetings
  • Support the ER Manager with in-country ER case management, including performance improvement plans and probation issues
  • Support the ER Manager with the implementation of disciplinary, redundancy and grievance measures where needed

Data Management

  • Regularly audit HR data for accuracy and completeness, implementing data quality improvements as necessary ensuring the integrity and accuracy of the information

Compliance

  • Ensure compliance with local and global regulations, such as Equal Pay Reporting, Affirmative Action Planning, IR35, and data protection legislation
  • Within a global framework support the ER Manager to create and maintain the country employee handbooks
  • Ensuring compliance with Global ISO requirements
  • Working with the legal team and ER Manager to ensure all contracts of employment are up to date, locally compliant and in place for all countries

Development

  • Lead, mentor and support development of the Global HR & Payroll Coordinator, providing guidance on best practices and fostering a collaborative team environment
  • Continuous Improvement and Innovation
  • Regularly identify and implement process improvements, dedicating time to refine work and boost efficiency. Be curious and inquisitive, and committed to exploring new ideas to achieve our goals
  • Standardise HR processes to enhance efficiency and scalability including implementing and activating tools, policies, and interventions developed by the CoEs
  • Utilise automation and self-service options to improve employee experience and reduce response times
  • Continuously improve service delivery based on employee feedback and operational needs
