About the Job

As Benefits Lead, you will own the end-to-end documentation, standardisation, and transition of all employee benefits administration across 7 countries – covering design (structure, funding, and levels of cover) and administration processes (employee selections, provider reporting, and payroll reporting). In this role, you will lead knowledge transfer to embed and centralise benefits administration within the Reward & Payroll team, ensuring compliant, efficient, and scalable delivery.

Key Responsibilities

Benefits Design Documentation

  • Lead the documentation of benefits by country (7 in total), detailing plan design, funding approach (employer-paid, employee-paid, contributory, flex credits), eligibility, levels of cover, waiting periods, tax treatment, and renewal cycles.
  • Create a single source of truth (country playbooks) including policy summaries, provider details, contracts, and escalation paths.

Benefits Administration

  • Map and standardise end-to-end processes for employee selections, life events, new joiners/leavers, provider reporting, payroll reporting, and invoicing/reconciliation.
  • Define data standards (file specs, data transfer methods) and controls (cut-offs, validations, reconciliations, exception handling).
  • Ensure timely, accurate provider submissions and payroll inputs (pre and post-tax treatment; employer/employee contributions; adjustments).
  • Maintain audit-ready documentation (process maps, evidence logs).
  • Ensure correct benefits data and calculations flow into payroll processes (deductions, employer costs, taxable benefits, refunds).

Knowledge Transfer & Centralisation

  • Design and execute a structured knowledge transfer programme for benefits administration into the Reward & Payroll team, including SOPs, training plans and handover through to stabilisation.
  • Define administration model, roles/responsibilities, and escalation routes to ensure benefits administration is fully centralised.
  • Establish a continuous improvement loop post handover.
  • Other Perform essential administrative activities to ensure consistent benefits delivery.
  • Monitor the Reward inbox and ensure timely, accurate responses.
  • Collaborate with internal stakeholders to ensure aligned, compliant delivery.

Functional Competencies (Technical knowledge/Skills)

  • Strong knowledge of multi country benefits administration and compliance.
  • Strong process design skills (process mapping, SOPs, controls, data standards).
  • Creative in problem solving and ability to operate constructively in a changing environment.
  • Ability to manage large, complex projects and develop cross-functional support and reach agreements.
  • Excellent written and verbal communication; adept at creating clear employee and operational documentation.
  • Familiarity with compensation and total reward frameworks and how benefits integrate with payroll.
  • Working knowledge of HRIS/payroll integrations and file based provider reporting.
  • Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail.
  • Ability to identify and implement process improvements.

Experience, Education, and Certifications

  • Degree or equivalent experience in HR with a specialist focus on reward and employee benefits.
  • Proven experience leading multi-country benefit operations such as renewals, open enrolment or process optimisation.
  • Track record in documenting and standardising benefits processes and (preferably) experience of successfully knowledge transferring these to other teams.
  • Strong spreadsheet and process mapping skills and comfort with HRIS/payroll data.
  • Fluent English
